1. Payment Requirements
1.1 Advance Payment
- A 50% non-refundable advance payment (excluding Bronze partners) is required to reserve your sponsorship package and to be included in all promotional materials.
- WLCC bank account details will be provided for payments.
1.2 Final Payment Deadlines
- Platinum, Gold, Special Sponsors & Silver Partners: balance payment must be settled on or before 15 December 2025.
- Bronze Partners: Full payment must be settled on or before 23 December 2025 to secure your space.
Failure to meet these deadlines may result in removal from the promotional campaign and loss of reserved space.
2. Space Allocation & Special Requirements
- Allocated space varies according to sponsorship category.
- Requests for additional space, electricity, extra VIP tickets, extra tables, or banner placements can be discussed and arranged subject to availability and additional charges.
- All special requirements must be communicated at least 10 days before the event.
3. Product & Service Approval
To ensure quality and compliance:
- All sponsors and sellers must inform the committee in advance of the exact foods, beverages, products, or services they intend to offer.
- The organising committee may request additional information, documents, menus, product photos, certificates, or samples if required.
- All items must receive final approval from the WLCC Steering Committee before the event day.
Unapproved items will not be allowed for sale or display.
4. Legal, Insurance & Certifications
- All sponsors, vendors, and partners are responsible for ensuring that their own insurance, food safety certifications, hygiene certificates, licences, or any legally required documentation are valid and up to date.
- WLCC and RoarFest '26 organisers accept no responsibility for any non-compliant documentation, legal issues, health and safety or related penalties.
5. Liability & Responsibility
- Event organisers are not responsible for any damage, theft, injury, or loss to sponsor property, staff, equipment, or goods during the event.
- Each sponsor is responsible for ensuring the safety and security of their own stall, equipment, and products.
6. Behaviour & Compliance Requirements
- All sponsors, sellers, and their staff must follow WLCC event guidelines, venue rules, and safety instructions.
- Any behaviour, setup, or activity that violates event rules may result in immediate cancellation and removal from the venue without refund.
7. Committee Approval & Rights
- All sponsorship applications, stall requests, and special arrangements are subject to the final decision of the WLCC Steering Committee.
- WLCC reserves the right to approve, decline, modify, or cancel any sponsorship or participation request in the interest of the event.
- In the case of non-compliance, organisers reserve the right to remove the sponsor/seller without compensation.
